Day In The Life:

Reporting into the Chief Pilot, the Aviation Administrator will act as the key liaison between the flight crews, management and maintenance teams, and airline passengers. They will utilize their customer service, administrative, and time management skills to ensure there is a seamless experience for all parties involved. In addition, this role will manage all department records including but not limited to flight data, invoices, and record keeping.


What You Will Do:

  • Managing calendars within the aviation team and notify crew of pending trips.
  • Securing appropriate authorization and ensure aircraft requisition forms are completed.
  • Managing department records and providing necessary reporting to tax and accounting partners.
  • Processing aviation invoices accordingly.
  • Managing passenger data in flight scheduling software.
  • Maintaining a flight following system, ensuring the aviation team is aware of traffic advisories, safety alerts and overall situational awareness.
  • Interfacing with flight crews, management, maintenance, and passengers (inclusive of top-level executives).
  • Scheduling ground transportation and accommodations when needed.
  • Managing timeshare agreement to ensure accuracy.


What You Will Need:

  • Aircraft scheduling/dispatch experience
  • Experience using a computer flight scheduling and records-keeping system demonstrating a thorough understanding of its use 
  • Experience with accounts payable procedures and record keeping
  • Excellent written and verbal communication skills
  • Strong interpersonal skills with relationship building and conflict management
  • Experience with international trip planning (desired).
